Intuit Executive Assistant Business Partner 1 in San Diego, California

Overview

Intuit’s Small Business Self-Employed Customer Success organization is looking for an Executive Assistant to be a strategic business partner to the VP of Ecosystem Growth and Retention and up to three directors. This EA will be responsible for performing a wide variety of administrative duties. The ideal candidate is self-motivated, professional, proactive, and capable of managing their workload while enabling their executives to successfully manage their workloads in a fast-paced environment.

What you'll bring

  • Minimum of 5+ years working at the Executive Administrative level, effectively supporting multiple leaders at one time

  • Advanced Outlook calendar management is critical

  • Proficient knowledge of Windows desktop computer applications, Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Slides, Sheet and Doc), Box skills

  • Strong organization, project management and problem-solving skills

  • Possess strong interpersonal skills, as well as a strong customer service perspective (internal, as well as external), and can handle issues with respect, dignity, sensitivity, and urgency

  • Friendly and professional demeanor, with a “can do” attitude

  • Ability to act quickly from one task to another, seamlessly and professionally

  • Proven time management skills with the ability to prioritize and handle multiple tasks and work in a fast-paced environment with limited supervision

  • Be highly proactive and take ownership to anticipate needs and adept at managing up and downstream to ensure deliverables are met timely and accurately

  • Must be able to work independently, have a commitment to high levels of customer service and excel in a deadline-driven environment that involves multiple, simultaneous projects

How you will lead

  • Proactive management of heavy and complex calendars and scheduling to support teams based on a thorough understanding of business priorities

  • Travel coordination and arrangements

  • Partner across organizational boundaries to deliver outcomes with other Executive Assistants and business partners.

  • Plan and support events for large meetings, off-sites, and team motivation

  • Ability to juggle multiple priorities and work streams while remaining calm and composed

  • Plan, coordinate, and ensure schedule is followed and appropriately prioritized, informing of upcoming commitments and responsibilities, following up appropriately.

  • Possess a high degree of initiative to take independent action and be able to always exercise proper judgment

  • Be trustworthy and able to exhibit a high degree of confidentiality and integrity

  • Be the “eyes and ears” of the team and be sensitive to the needs of employees

  • Managing and reconciling expense reports on behalf of the leaders

  • Maintain organizational charts and email distribution lists

  • Have a keen understanding of the organization – the vision, business direction, and mission

  • Be approachable and eager to provide counsel and direction to team members/peers

  • Takes initiative on researching, implementing, and improving systems and processes
